Administrative Coordinator - Remote

Position Summary:

The International Project Coordinator III provides administrative and operational support for client projects across Emergo’s global service lines and markets. This role works closely with all departments within the organization to facilitate project execution, client communications, documentation management, and service delivery. The position may also include independent management of lower-complexity projects while contributing to broader team objectives.

This position is remote in Brazil.

Responsibilities:

Project Coordination & Administrative Support

• Provide administrative and operational support for client service activities, including project coordination, contract administration, documentation processing, and service-related requests. 
• Coordinate project execution activities, including project intake, status tracking, invoicing, and required follow-up activities.
• Maintain accurate and secure client records and project documentation in accordance with internal procedures.
• Coordinate with Emergo offices worldwide, consultants, contractors, and suppliers to support project delivery, invoicing, and resource management.

Client & Internal Support

• Serve as a point of contact for routine client and internal inquiries, ensuring timely communication and escalation when appropriate.
• Respond to and help manage communications from clients, prospects, vendors, consultants, and sales personnel while maintaining a high level of customer service.

Systems, Project & Operational Support

• Use company systems, tools, and established processes to support project planning, execution, tracking, and reporting.
• Contribute to process improvement initiatives, departmental projects, and other duties as assigned.

Minimum Qualifications

• Bachelor's degree or equivalent combination of education, training, and experience.

• Excellent organizational, time management, and communication skills.

• Strong attention to detail and commitment to maintaining accurate documentation. 

• Demonstrated ability to manage multiple priorities in a fast-paced, collaborative, team-oriented environment.

• Sound problem-solving skills, with the ability to identify issues and seek guidance when appropriate.

• Ability to learn and effectively use project management and business systems.

• Proficiency in Microsoft Office applications and related business software. 

• Fluency in English (written and verbal) required.

Preferred Qualifications

• 1-3 years of professional experience in project coordination, customer service, operations, administrative support, or a related field.
• Experience working with international teams or global business operations.
